1. Information we use

Passwordless email sign-in uses your email address, a short-lived verification-code record, and a secure session cookie. The verification code expires after 10 minutes and is attempt-limited. HOT 16 ARENA stores a linked account identifier with entries, votes, agreement records, blocks, reports, and suspensions. The app does not receive or store your email password.

We store submitted audio, your chosen artist name and verse title, optional artist bio and social-profile links, submission time, duration, combined and individual judge scores, vote records, moderation status and reasons. We also store the accepted policy version and time, personal artist-block choices, report reasons and details, administrator activity records, assigned judge records, and operator-uploaded weekly beat files and metadata. The agreement requires an 18+ age confirmation; we do not request your date of birth or identity documents.

The hosting, email-delivery, and sign-in services may process IP addresses, browser and device information, cookies, and operational or security logs to deliver and protect the service. HOT 16 ARENA currently has no advertising network or separate marketing analytics integration.

2. Microphone and file access

Microphone access is requested when you press Start recording. Your voice and the weekly beat are mixed on your device. A take is temporarily held in browser memory for playback and re-recording and is sent to the server only when you press Submit verse. The app does not request camera, contacts, or location access. You can stop recording and revoke microphone permission in browser or device settings. Closing the recording screen stops microphone tracks.

For host music uploads, the selected MP3 or WAV is decoded and trimmed on the device; the prepared 16-bar audio clip is uploaded when the host saves it. Unsaved takes and previews are held in browser memory, not uploaded as drafts. Reloading or closing the page can lose them.

3. Purposes and public content

We use information to run weekly competitions, record and play verses, prevent duplicate entries or votes, maintain the winners archive, authorize administrator and judge controls, review content, handle reports, honor personal feed blocks, manage private-arena membership, verify subscription access, and respond to support requests. Approved public audio, artist names, optional bios and social links, verse titles, combined judge scores when released, and aggregate vote totals may be viewed by anyone through the public app. Pending public audio is restricted to its submitter and the administrator.

Private arena names, invitation codes, membership, recordings, votes, and results are limited to the host and approved members as needed for the feature. Join requests are visible to the host. Private arena hosts can approve or remove members and review content in their arena. Do not share an invitation code publicly. App Store or Google Play supplies subscription status and purchase identifiers needed to verify access; HOT 16 ARENA does not receive your full card number.

Individual voter identities, judge email addresses and individual scorecards, sign-in emails, personal block lists, and reports are not shown publicly. The administrator can see report details for moderation. Judges can score eligible approved recordings but cannot moderate accounts or content. Signed-in users can block artists and manage a private list under Account; blocking personalizes only that user’s feed. It does not remove recordings from other listeners or disqualify an artist. Avoid placing private or sensitive information in your artist name, bio, social links, verse, or report.

4. Hosting and service providers

HOT 16 ARENA uses OpenAI’s Sites, Cloudflare-backed database and file storage, and Resend to deliver passwordless sign-in codes. These providers process information needed for hosting, authentication, email delivery, storage, and security under their own applicable terms and privacy policies. Their systems may process data in countries other than yours. See OpenAI’s Privacy Policy, Cloudflare’s Privacy Policy, and Resend’s Privacy Policy.

We do not currently sell personal information or use uploaded audio to provide advertising targeting. Information may be disclosed as necessary to comply with applicable legal obligations, respond to valid requests, protect rights or safety, or investigate abuse. Public content can be copied by other people; HOT 16 ARENA cannot control their independent use.

5. Retention and deletion

Email verification challenges expire after 10 minutes; expired records are eligible for cleanup. Sign-in sessions expire after 30 days and may be revoked when you sign out. Entries and approved public audio remain available for the competition and archive until removed. Private Arena Starter keeps private recording history for up to 30 days; older private recordings are eligible for automatic removal. Private arena membership and results remain while the arena is active and as reasonably needed for support, security, or disputes. Votes, agreement records, reports, moderation records, blocks, subscription-entitlement records, and suspensions are retained as needed to administer the service, prevent abuse, and resolve disputes. Hosting and email-delivery logs and backups follow the providers’ retention practices.

Use Account → Delete account & data, or the public account deletion page, to delete your submitted audio, artist profile and social links, entry metadata and scores, votes you cast, submitted reports, block records, agreement records, private-arena membership, locally stored entitlement record, and active email sessions. If you host a private arena, account deletion removes that arena and its membership records. Deleting HOT 16 ARENA data does not cancel a subscription with Apple or Google; cancel billing in the applicable store. Removal affects competition results and the Hall of Fame archive. Operator-supplied weekly beats remain separate. Deletion may be retried if a storage failure prevents completion; recordings are hidden while deletion is in progress. You can also email support from the email associated with your sign-in to request access, correction, removal, or deletion. We may verify account ownership before acting. We will remove data no longer needed, while retaining minimal information where reasonably necessary for legal obligations, security, or disputes. We retain a minimal account identifier link and deletion-status record containing the site-specific identifier, deletion time, and whether you entered or voted that week to prevent repeated-request and competition abuse. Expired deleted-account markers become eligible for cleanup after 90 days and are purged on subsequent signed-in activity. Rejoining does not reset that week’s limits. Necessary suspension identifiers and reasons may remain to prevent abuse until reviewed by the host. Other users’ ballots may keep references to a withdrawn entry, but its deleted recording and artist details are no longer available. Deleted data may remain in provider backups temporarily. Removal from HOT 16 ARENA does not delete your external email account or copies held by listeners.

6. Eligibility and changes

Participation is limited to people 18 or older, based on their confirmation at agreement. HOT 16 ARENA is not intended for children. Contact support if you believe a minor submitted personal information. We will review the concern and remove inappropriate data. Policy updates will be posted here with a new effective date.
